Care West Pty Ltd (ABN 73 127 994 673; ACN 661 444 382), trading through CARE WEST FLOW, respects the privacy of people who visit our website, request a demonstration or use our software. This policy explains how we handle personal information.

Information we may collect

We may collect business contact details, account and authorised-user details, subscription and billing records, support requests, security logs, and information a customer enters into its CARE WEST FLOW workspace. Customer workspaces may contain sensitive information about clients, participants, care recipients and workers.

Why we collect it

We use information to respond to enquiries, demonstrate and provide the service, administer accounts and subscriptions, maintain security, deliver support, improve reliability, meet legal obligations and investigate suspected misuse.

Customer responsibilities

Each subscribing organisation controls the records it uploads and is responsible for having a lawful basis, suitable notices and any required consent to collect and use that information. Authorised users must only access information needed for their role.

Sharing and service providers

We may use trusted service providers for hosting, authentication, communications, payment processing and technical support. We only disclose information where reasonably necessary to provide the service, with permission, or where required or authorised by law. Some providers may process information outside Australia; where applicable, we take reasonable steps to address Australian privacy requirements.

Security and retention

We use access controls and technical and organisational safeguards intended to reduce unauthorised access, loss, misuse or disclosure. No online system can be guaranteed completely secure. We retain information only for as long as needed for the purpose collected, contractual requirements and applicable law, then delete or de-identify it where appropriate.

Access, correction and complaints

You may ask to access or correct personal information we hold about you, or raise a privacy concern. We will respond within a reasonable period and may need to verify your identity. If your information was entered by a subscribing organisation, we may refer the request to that organisation.
